How to add a booking CALENDAR to my personal calendar

Overview

AGS Bookings and Events can be viewed on your person calendar program.  A "subscription" to a calendar will give you a link that you will insert in your local calendar program (like Google Calendar, Apple Calendars or Outlook).  The Booking Portal provides three options for iCal subscriptions.  

In this article we will:
  1. Review the 3 types of iCal subscriptions and reasons for each
  2. Show how to find each calendar subscription link
  3. Give an overview of using the link (note: this will be different for each calendar program)
  4. Explain the Re-Key option

3 Calendar Options

  1. iCal Internal - All Services and Events

    1. Used for staff.  They can sync the AGS calendar with their personal calendar.  This is for the whole calendar, including all Bookings and Events.  
  2. iCal Public - Only Public Events

    1. For patrons of the facility.  They can add all Events for the community onto their personal calendar.  
    2. You can also load this calendar onto a calendar program that can be added to a website.  For example, Google Calendars have functions to add a calendar onto a webpage, for the public to view.  
  3. iCal for an individual Service

    1. Each Service has a calendar link.  The Owner of the service may want their AGS Bookings to appear on their personal calendar.  For example, a tennis coach can load a calendar of their lessons.  Or the on-site manager can look at Pavillion Rentals on their calendar.  Any time a reservation is made for that Service, that booking will appear on the calendar.  

Finding calendar links

iCal Internal - All Services and Events

  1. On the Calendars page, scroll down to the lower left
  2. Click ICAL INTERNAL
  3. On the pop up screen, copy the link

iCal Public - Only Public Events

  1. On the Calendars page, scroll down to the lower left
  2. Click ICAL PUBLIC
  3. On the pop up screen, copy the link

iCal for an individual Service

  1. Go to the Services page
  2. Select the Service you want get a calendar link for
  3. Scroll down to the bottom
  4. Copy the iCal subscription link

How to load a subscription into your calendar program

NOTE: Each calendar program loads subscriptions differently.  Refer to your calendar program for exact directions.  The directions below are a basic guide.  

Outlook

  1. Click on Shared Calendars
  2. Click Add Calendar
  3. Click From Internet
  4. Paste in the link provided by AGS
  5. The calendar will show up on your calendar list

Google

  1. Click the Plus button in the Other calendars section
  2. Click From URL
  3. Paste in the link provided by AGS
  4. Click Add calendar

What does the Re-Key option mean?  

If you have given out an Internal or individual Service calendar link, and don't want that person to have access, you can Re-Key the calendar.  This will create a new subscription link.  The previous link will no longer work.  You can share the new link with the people you want to have access.  For example, if a tennis coach is released, you can re-key the calendar and give the link to the new coach.  The old coach will no longer be able to see the lesson schedule.
