How to adjust automated actions
Overview
When an application is approved, the software can make many automated actions. These include expiration dates, virtual guest passes, and barcodes. AGS sets automated actions when creating the application. These actions can be edited by an administrator.
In this article, we will show you how to adjust these actions and explain their options:
- Expiration date for new memberships
- Expiration date for existing memberships
- Virtual guest passes for new memberships
- Virtual guest passes for existing memberships
- Entry passes for new memberships
- Entry passes for existing memberships
- New member barcodes
Here is how
First, go to the Community settings in the Application Portal
- Click on the Menu
- Click on Community
- Select the community from the drop down list
- Be sure to use the Save button after making changes
Expiration dates
- For new Memberships
- Choose a specific calendar date
- For this option, the expiration date will be the end of the month of the current year
- For example, pick December if you always want the approved membership to expire on 12/31 of the year it is approved.
- Number of days from approval
- For example, if a membership always a week, choose 7
- For existing memberships
- Expiration date stays as is
- Choose a specific calendar date
- For this option, the expiration date will be the end of the month of the current year
- For example, pick December if you always want the approved membership to expire on 12/31 of the year.
- Number of days to extend the membership
- Number of days from approval
- Option to only update an expiration if there is a date
- "Never" expiration dates (e.g. lifetime members) will be note be affected
Virtual Guest Passes
- All new memberships get a certain amount
- Existing Memberships
- Remains the same as is
- Amount is updated
- Passes are added to the current amount
Entry Passes
- New Members get a certain amount or click the infinity button for Unlimited
- Existing Members
- Remains the same as is
- Amount is updated
- Passes are added to the current amount
- Option to not update entry passes if they already have Unlimited
Barcode
- Do not assign a barcode
- The next available number is assigned
- A random number is assigned
- A random barcode with numbers and letter is assigned
Note: Existing members keep the same barcode
