How to create a default Membership ID

Overview

When a new membership is being created, the syncing workflow will suggest a new Membership ID.  It may be useful to tell Access Granted Systems what to populate this box with.  

What is the Membership ID?

The membership ID is the unique identifier of the household.  It is what groups family members together.  When two members have the same membership ID, they are grouped together into the same Membership.

What should I use as the the Membership ID?

This is 100% up to you.  We recommend a phone number.  Some HOAs use the street address or Unit #.  Some swim clubs use an account number or bond number.  You can even use a random number.  We do not recommend using the NAME as the Membership ID.  This will cause an issue if there are two John Smiths in your community.   

How to set a default Membership ID 

Use a calculation.  
  1. Add a calculation. Result Name: NewMembershipID. (for most communities, this calculation already exists in your template.)
  2. Click Suggests New Membership ID.
  3. Expression: This is where you'll enter the Field Name or Calculation that will suggest the Membership ID.  Here are some examples...
    1. Phone: str(primaryPhone)
    2. Line 1 of Street Address: strSplit(address, "|", 0)
    3. Random 6 digit number: random(6,"numeric")

Can I have my members enter their Membership ID? 

Yes.  This is useful if your are an existing club whose members already have an identification number.  Use the same identification number for Access Granted System's.  Here is how...

Step 1: Create a Form Field where members will enter there existing ID.
A.  Create a TEXT field on your form: membershipID
B.  Add instructions: Enter your existing Membership ID  
C.  Label the field: Membership ID
D.  Check Modifiable after Submit 

Step 2: Add a calculation.
  1.  Result Name: NewMembershipID.
  2. Click Suggests New Membership ID.
  3. Expression, use the Field Name from step 1: membershipID


Can I NOT have a default Membership ID? 

I'd like to manually enter a Membership ID each time I process a submission.

Uncheck Suggests New Membership ID OR delete the entire calculation.

When you process a new application, the Membership ID field will be blank.  You'll need to manually enter a Membership ID to continue.
