How to PROCESS an application

How to PROCESS an application

Overview

Organizations that utilize our software process applications differently.  We can't write one help article here that tells you exactly how to process your unique community.  Instead, we write custom instructions within the portal itself.
In this article, we will show you:
  1. How to view your custom instructions
  2. Show a video of a manager processing applications
  3. Explain the Membership ID
  4. Explain why the "Clipboard" icon may be a different color
How to view your custom instructions
1. Claim an application by clicking the clipboard icon.

2.  Click SHOW INSTRUCTIONS
3.  Click the arrow icon to open instructions in a new window (optional).
Follow your custom instructions.

What is the Membership ID?
The membership ID is the unique identifier of the household.  Most communities use the street address for the Membership ID.  Some swim clubs use an account number or bond number.  You can even use a random or incrementing number.  The membership ID must be unique for each household.  When two patrons have the same membership ID, they are grouped together.  We do not recommend using the member's name as the Membership ID.
The Membership ID can only contain the following character types: A-Z, a-z, 0-9, @ + , _ . and space.  Dashes, $, &, #,*, and others are not allowed.

Why is the clipboard greyed out or purple?
  1. PROCESSED applications can only be processed once.  To provide patron support or make changes after processing, open the membership in the PoolPass software.
  2. CREATED applications are partially completed applications and are not ready for processing.  Usually, its an application when payment was attempted but failed.  While providing patron support, the patron may attempt another payment or simply submit a new application.  If a payment is never successfully completed, the created application will timeout and auto-delete.
  3. CLAIMED applications may only be claimed by the user that has already claimed it.  It is best practice not to claim an application for a long period of time.
