If a membership exists, when you process the application, you can match the application to the existing membership. This is the way you want to process applications if:
- An existing address list was uploaded
- You kept last year's membership list and members all need to reapply each year
- Reapplying each year is optional, but some members reapply to make updates to their household
How to Match an Application to an Existing Memberships
After you click Sync with PoolPass:
- Match the Address on the Application to the Membership ID or Address on the list below, by clicking the Membership ID
- If the proper membership is not seen, you may use your browser's find command (commonly Crtl+F).
How to sort applicants to the correct column
There are a few scenarios that determine what to do next. Here are some examples. If you are not sure what to do, ask your community's administrator or your AGS Account Representative.
Household changes
In this case, a few members are the same, one moved away, and one moved in. Two auto-matched, one is getting trashed and one is moved to the Applicants to Add.
Totally new people
In this case, all previous members were trashed and all new ones were added.
A placeholder was used when the address list was uploaded
Delete the placeholder and add the applicants.
How do I know I make the right choices?
Take a look at the last screen when processing. The summary should be what you expect.
