Definitions
What is a PATRON?
The Patron is the end user. The person completing the signup form.
Examples are a party host purchasing a pool party, mom registering her child for swim lessons, a member attending a special event, or a person reserving a pavilion.
What is an EVENT?
An Event is used when you (the Admin) 1st choose the date & time the event will occur. Then 2nd, patrons will signup.
For instance, your community may host a Bull Roast. You (the Admin) will 1st setup the date & time. Then 2nd, patrons will signup.
What is a SERVICE?
A Service is used when you would like patrons to choose the date & time. Patrons will 1st select a date/time. Then 2nd, complete the signup form. A service has a calendar of availability.
For instance, you may sell pool parties. Your patron will 1st choose the date and time from a list of available party times. Then 2nd, purchase the party.
What is a BOOKING?
A Booking is a reservation of a Service for a particular time slot. When a Booking is made, it is added to the service's calendar.
For instance, Jim (a Patron) will book a pool party (a Service) on July 20th at 3pm. This action creates a Booking on the pool party's calendar.
What is a RESOURCE?
A Resource is used to schedule Events and manage complex Services. Resources can be objects, people, physical spaces, or virtual. A resource has a calendar of availability.
For instance, you may have 3 tennis courts. You may elect to create 3 resources for your 3 courts. You can then create an event, "Beginner Tennis Class". You can create a complex service, "Reserve Tennis Court" using all 3 resources.
What is a BLOCK?
A Block is used to reduce the time a Resource or Service is available.
For instance, you can block the Pavilion (a Resource) from being available July 4th from 10am to 8pm.
What is expanded AVAILABILTY?
Expanded Availability is used to add time to a Service's calendar of availability.
For instance, you can add availability to your Pool Party service in September on Weekends only.
How to navigate the booking portal
Once at the Booking Portal. The Calendar is your homepage. It is a master calendar for your entire community.
Calendars
The left column lists your community's calendars.
- You can check/uncheck calendars to focus on specific calendars.
- You can select calendars to edit
Adding
- Add Resources & Services (calendars) by clicking the Yellow New button
- Add Bookings, Events, Availabilities, & Blocks by clicking the Green Plus button
Menu
The Booking Portal's menu allow you to...
- Go back to your master Calendar.
- View a list of Services, Bookings, Events, Availabilities, & Blocks.
- Leave the Booking Portal and go to a different AGS Portal.
Dates
- Adjust the dates as needed.
- You may also scroll down to view additional dates as needed.
View & View Options
- Switch views as needed. Year; Month; Week; Day; Timeline; List
- Click the gear icon for additional view options.
