FAQ: What are my classic passes mailing options?

Overview


Communities that enable classic passes have three mailing options.  
  1. Print and mail directly to the members home daily
  2. Print and mail to management daily.  
  3. Print and mail to management upon request.

How do I switch mailing options?    

New accounts are setup to print and mail directly to the members home by default.  
Important: Contact your Access Granted Systems account representative if you would like to switch.  Admins can view and switch mailing options within the pass printing portal, but we are happy to check your settings to ensure the switch is made.    

How quickly are passes mailed if they are mailed daily?  

Passes are printed after the the pass has been approved.  Passes are printed and mailed daily.  In other words, passes are printed and mailed within a 24 hour mailing cycle after the pass has been approved.    

How quickly are passes mailed if they are mailed to management upon request?  

Passes are mailed within 48 hours of the request.  Passes are shipped 2-3 days ground shipping.  Please allow up to ten (10) days for the entire process.  If you community is having a "Pickup Day", please make your request ten (10) days prior to the pickup day.    

How do I trigger or request AGS to mail the passes to management? (option #3)   
1.  Click the menu then Manage Passes.

2.  Click Request Bulk Mailing.   
3.  Select your community.  
4.  Click OK.   
5.  Click Confirm Mailing.  

Note:  You may also email your account representative and they will trigger the mailing.  

When does the community get billed for mailing passes to management upon request? (option #3)

There are two separate events that create two separate line items in the account. 1st is the request to print the pass.  2nd is the request to mail the passes. 
  1. When the request to print the pass is made, AGS immediately prints the passes, bills the account for pass printing, then places the passes aside. 
  2. When the request to mail the passes is made, AGS mails the passes and bills the account for the mailing.     
Can I switch mailing options 1/2 way through a season?    

Yes.  You can switch anytime.  Contact you Access Granted Systems account representative.  
Important: Changes are moving forward.  Previously approved passes retain the previously selected mailing option.  Newly approved passes will have the new mailing option.
