FAQ: What is an Administrator or Head of Community?

Administrator Policy


Administrators are the "owners of the account" and always have full software permission.  Administrators cannot be added, deleted or edited by other administrators.  Accounts can have up to two (2) administrators.  

Administrators...
  1. Oversee the account's financial security. 
    1. Including user permission to change financial settings.
  2. Oversee the account's software users and permissions.  
    1. Including adding and deleting users.  
    2. Including resetting, changing, deleting, or expiring passwords.      
Multi-Community Policy: Any organization that needs users to access multiple accounts must establish one (1) or two (2) administrators for the organization.  Administrators oversee users and permissions for all the organization’s accounts.    

Head of Community Policy


The Head of Community (HOC) is the decision maker for the account.  HOCs work in conjunction with AGS’s account representatives to customize AGS’s platform and meet the needs of the account.  

HOC Policy:  Organizations can only have one (1) HOC.  Organizations can add additional users as co-HOCs.   

HOCs and co-HOCs...
  1. Run the day-to-day operations of the account
  2. Have the authority to enable of disable AGS's platforms, features, and services.  
  3. Have the authority to make decisions on behalf of the organization with out the Administrator's (owner) consent.  Including AGS's non-software services.    
Administrators are responsible for electing the HOC.  As well as adding or deleting co-HOCs.

How to switch owners/administrator 

You may be in one of the following scenarios.  
  1. I'm an existing owner (administrator) transferring ownership to my replacement.  
  2. I’m a recently hired property manager taking over an existing account.  
  3. I’m a newly elected board member taking over an existing account.  
  4. I’m a property management company and I heard our new client (a community) uses AGS’s services.  
  5. My co-worker recently retired/got promoted/quit/on maternity leave/etc.  How do I become the administrator?  
  6. Or any other situation not listed above.  
Option A: Get permission from the old administrator to transfer administrative privileges to you.  Please have the old administrator send AGS an email or letter requesting the account be transferred to you. 
Option B: Request AGS to start the account’s Recovery Process.  
Option C: In the absence of a specific administrator account recovery process, submit any proof or documentation demonstrating you have authorization to act on behalf of the organization.  AGS will reach out and attempt to contact the previous administrator.  After a five (5) day waiting period and you have submitted satisfactory proof, AGS will determine if the account can be transferred or a new account must be created.

1.  Click Select New HOC

How to add or edit CO-HOCs

2.  Add emails separated by semicolons
3.  Click Apply CO-HOC Changes
