FAQ: What is the CLAIMED status?

Overview

Organizations may have more than one user processing applications.  The claimed status is to prevent more than one user processing the same application and causing errors and confusion.  The first step in processing an application is always to claim an application.  Only the person who has claimed an application can process it.  There are 3 ways to unclaim an application so someone else can process it. 
  1. Unclaiming an application you have claimed
  2. How an administrator can "force release" to unclaim an application
  3. Automatic unclaim
How do I unclaim an application? 
The user that claimed the application can take action to unclaim it.  
Step 1: Click the clipboard icon.

Step 2: There are four options.  
  1. Click RELEASE and change the stats back to submitted.
    1. Releasing the application will simply unclaim it.
  2. Approve the application by clicking SYNC WITH POOLPASS and completing the process.
  3. Click HOLD and change the status to hold.
  4. Click DECLINE and change the status to declined.

Clicking CLOSE will only close the tab but the status will remain claimed.  

Administrator "Force Release" to Unclaim
An Administrator can unclaim an application with the Force Release action.  This will return the application to the Submitted status. 

  1. Find the claimed application you wish to force release
  2. Click the Gear icon
  3. Click Force Release
  4. On the Confirm screen, click RELEASE

Automatic Unclaim
The application will be automatically unclaimed after it has been claimed for 24 hours.  It will revert to its previous status.
